

ServiceTrack is a complete package of PC Windows
based hardware and software that allows both security personnel
providers and commercial cleaners to track their employee’s activities
and record incidents that relate to security breaches or safety issues.
ServiceTrack allows commercial cleaners who
provide day cleaners to shopping malls to automate compliance with the
“15 minute” rule and to provide a high level of reporting on mall patrol
activities to their shopping mall clients.
The basis of the system:
Each day cleaner is issued with a hand held
portable bar code scanner at the commencement of each shift.

In addition, as part of the system installation,
location bar codes are discretely positioned around the shopping mall so
that day cleaners can quickly record the location of spills and other
clean up activities.

Cleaning personnel are also issued with bar code
ID labels so that they can log on
and off the system as they start and finish a
shift.
On each cleaning trolley a series of incident
bar codes is kept so that day cleaners can quickly record the type of
spill encountered and the way they dealt with the spill or other clean
up activity.

The scanning process becomes fast and simple for
day cleaners to master.
They scan their ID bar code when they start
their shift and then scan the bar code at the starting point of their
mall patrol. If they encounter a significant spill or other clean up
situation in the course of their patrol they scan the nearest location
bar code ( Coles entry), scan the incident bar code (chips spill) and
once the clean up is completed scan the outcome bar code (cleanup
completed).
Each time a bar code is scanned it is time and
date stamped. When the day cleaner reaches the end point of a 15 minute
patrol the appropriate location bar code is scanned indicating the exact
time a 15 minute patrol was completed.
At the end of each day (or maybe every second or
third day) the scanners are returned to the shopping mall office for
downloading into ServiceTrack.
This is a very quick and simple activity and one
day’s activity will take approximately 20 seconds to download and save.
The scanners are simply attached to the host PC
via a download cable and the download button is clicked and downloading
commences.
As soon as the download is complete the raw data
is displayed in the save screen.

The final action is to save the data by clicking
on the “save” button.
A series of daily reports can then be generated
by clicking the Reports icon.

The daily service activity report is the most
commonly taken report – the user simply clicks the radio button to
select Daily Service Activity Report and the date range required (the
default is today’s date) and the report appears as follows:

Because all the daily data is being permanently
stored in a database any variation of report can be generated by the end
user. For example a report may be required showing all of the incidents
of sharps being found in toilets for the three month period from June to
August 2002.
With ServiceTrack this report can be instantly
created by simply filtering the required report parameters.
All reports can be automatically emailed to a
third party by simply selecting the email create option in the report
generation screen.
In summary ServiceTrack is the application of
efficient, low cost technology to the problem to proving to insurers and
other interested parties that every effort has been made to ensure that
duty of care responsibilities have been taken seriously.
