What you get in the standard FileTrack package:

A choice of two portable bar code scanners to make file location audits a breeze.

The low cost option:
The Zebex 1050 portable barcode scanner.

Or a more expensive heavy duty scanner option:
The Zebex 2030 heavy duty portable barcode scanner.

 

1000 all weather (polyvinyl) bar code labels printed with your organisation’s name.

These barcode labels are attached to each file cover or document bundle so that they can be scanned whenever they are removed from the file repository.

100 file location labels so you can “book out” files to particular offices or personnel simply by scanning a bar code.

And – the FileTrack software package.

FileTrack allows you to professionally manage your organisation’s paper files in a easy to use, straightforward way.  It has facilities for all aspects of file and document management:

• Basic file details
• Category of file – e.g. current projects, IT equipment, company vehicles
• Location of asset – e.g. central repository, Bill Smith,  drawing office
• Creation date
• Disposal details
• Date of disposal
• How disposed e.g. archived (with box # details) destroyed
• Reason for disposal e.g. matter completed
• Disposal actions e.g. archived
• Location check status
• Date last sighted

In addition FileTrack provides full online search facilities by:

• File description
• File Keywords
• File group
• File location

Once the file/s sought have been located by searching on either description, keyword, file group or file location a full list of all hits are returned in the file list screen as shown hereunder.

Partial word searches are supported – for example if a file in the name of Bonzaski is sought by inputting just the first few letters of the name – bonz – will return a hit on the file.

File locations can be changed either by scanning bar codes or, alternatively, on the PC by using the change status function as shown below.

This means any file can by moved around an office or sent out to a third party and be constantly tracked as to its location.

A full range of reports are also provided which can be previewed on the screen or printed as shown below;

Both the Z1050 and the Z2030 portable bar code scanners are fully integrated into FileTrack which makes location changes and location audit checks a breeze.

Simply go from location to location and scan the bar codes on every file you can locate. When you have finished you simply download the scanner by attaching it to the download cable (provided in package) and clicking on the download button as below:

The bar code data you have captured fills the screen and you click on save. Bingo – new locations are updated.

You can now print your missing files report and start looking – sorry the system can not help you find a missing file!
